INSTRUCTIONS / OPENING MESSAGE (USABLE FOR ALL NOTES SHEETS)

3/22/2020: Operations Notes: Layout Instructions 

  • Each Day / Conversation / New Topic / Meeting pushes the older meetings to the bottom of the page. Each new section should be broken up using Insert > Horizontal line:      

  • This action acknowledges a new topic or conversation. 
  • These documents should only have a set number of users and editors without permission to add or share as these topics may cover sensitive subjects and agreeing to not sharing will be our most secure way of communicating until a more secure way is established through IT. 

3/22/2020: Operations Notes: New Section Instructions

  1. Someone should be making notes in this document after or during every call, on a call, in a slack discussion, or adding ideas to the agenda for a scheduled meeting. 
  2. New Sections Start as Follows:
    • 3/22/2020: TOPIC OF CONVERSATION 
    • Use numbers or bullets to separate ideas within the section - this will give a specific frame of reference for future conversations. 
  3. For Ongoing Conversations and Notes - Use colors to identify the speaker, pick a color and stick with it across conversations. Pick a color that is readable and distinguishable. Original subject matter should be kept in BLACK text regardless of who starts the post:.
  4. Use Comments and Assigned tasks to get a user’s attention, or ask direct questions.  

SAMPLE TOPIC

    3/22/2020: OFFICE SUPPLIES

  1. Discussion: proposed method of ordering posit notes and other office items from amazon. Which ordering and process will be best for our needs and the easiest to track? 
    1. Multiple amazon users - order what you need as you need it for your office of 1.
      • CRAIG: I need to order my own post-it notes, there is no way other people could order my post-it notes
      • JULIA: This could make things complicated when trying to predict monthly expenses, I’ll look into the ability to set limits and budgets for Amazon Business Users. 
    2. We will order in bulk monthly and distribute office supply kits to each month. Office workers can submit requests for special items they may need. 
      • GABE: This option seems complicated. I’ll ask around and see how other people manage remote workers’ office supplies
