Basic Onboarding to Our Team Communications Tools
If you haven’t already, please fill out the renegade.bio Comms Survey, as this documentation will be tailored according to people’s responses there.
There are four basic accounts you will need to set up to join the team: Google Suite, 1password, TSheets and Slack.
Google Account
Purpose: Email, scheduling, file-sharing, collaborative docs, team meetings & contact info
As much as possible, we will be using Google Suite apps for the majority of our online work.
Email:
You should have received an invitation to set up a Google Suite account under YourName@renegade.bio
You can view all email groups you’re a part of at https://groups.google.com (make sure you’re logged into your renegade.bio Google account).
Shared Google email groups include: Info@ (general),Ops@ (IT), Finance@ (finance team), WebOps@ (website), PeopleOps@ (HR team), Legal@ (legal team), Receipts@ (expense reporting), Social@ (social media team), Support@ (external support), SFLab@ (SF Lab), Telephone@ and WebForm@. Submit a ticket if you’re not already a member of a group and think you should be.
Calendar:
Our primary calendar is called renegade.bio Internal, and can be viewed at https://calendar.google.com (make sure you’re logged into your renegade.bio Google account).
You can add renegade.bio’s Calendar to your personal calendar using the following iCal link:
When creating an event on the calendar, such as a team meeting, select Google Hangout under the Location -> Conferencing dropdown to automatically generate a videochat link for your invitees to join.
VideoChat:
We are using Google Meet / Hangouts for all of our videochat meetings - please avoid the use of less-secure platforms such as Zoom! You can quickly create a chatroom and invite others to join at the following link (while logged into your renegade.bio Google account): https://meet.google.com
Tip: To mute or unmute yourself, at the bottom of the video window click Mute. Phone participants can press *6 to unmute their phone.
Drive Files & Folders
Shared files live in our Shared Drives, which you should be able to view under ‘Shared Drives’ while logged into your renegade.bio Google account via https://drive.google.com
Current shared drives include: IT General (for tech guides and handbooks like this - access: All); Logistics (for physical labs inventory & punch lists - access: Exec Team & Lab Coordinators); Marketing Collaboration (for logo and branding files, social media and interview files - access: Marketing Team); Branding & Marketing (CONFIDENTIAL) (press kit and pitch deck - access: Marketing Team); and Regulations and Compliance (for regulatory policy documentation - access: Exec Team & Lab Coordinators) - there are likely others that I don’t have access to, so share as a Comment on this doc, as Drive access has been a point of concern.
Folders with CONFIDENTIAL in the title should not be shared outside of team members who already have access.
Contacts / Directory
Purpose: Making team member contact information available to the rest of the team
Google Contacts for the team are in the directory - please add your phone number if it isn’t there already, as well as your job title if not already added. You can also contact team members directly through Slack by navigating to ‘People’ and clicking on a user profile.
TSheets
For: Time tracking hours worked on various projects
You should have received an invitation to create a TSheets account at https://renegadebio.tsheets.com when you were onboarded. All employees salary and hourly need to engage in time tracking. We need this data as a company to track how long things actually take.
Once logged in, create a bookmark on your phone or browser bar to make it easier to quickly ‘clock in’ when you start working. The more notes the better, as this provides HR with info on where people are spending their time and informs future hires or areas of focus.

1password
Purpose: Securely storing and sharing shared online account login information
You should have received an invitation in your renegade.bio email - please look for this and follow the instructions to set up your account.
Once you’re set up, you can install 1password on your phone, web browser, and/or desktop. See instructions here for downloading and configuring the apps.
TIP: Make sure to save shared logins in a shareable ‘Vault’ (eg; Social) as 1password tends to default to saving new logins to your Private vault.
Slack
Purpose: Internal team real-time communication, file-sharing, and task management
Our Slack instance lives here: https://renegadebio.slack.com
To see all team channels, click Channel Browser in the sidebar. Do this before creating a new channel to avoid unnecessary confusion and duplication of info.
The sidebar also allows you to view the entire team (People) and shared files (Files). To see all members of a channel or files shared in that channel, click the Details menu in the top-right.
To quickly create a task for yourself, another, or an entire channel, type /task and hit Enter.
